Polkadot Toronto Offline Meetup during the Blockchain Futurist Conference & Canada Crypto Week 2026
Proposer: Giki
Beneficiary: [13wTSVm9AMpWfAyureZo2vqzZzkpvZpVhmKkzGb29hyEsDMo]
Requested Amount: 3,500 DOT

Abstract
This proposal requests 3,500 DOT from the Polkadot Treasury to organize a high-impact Polkadot Offline Meetup in downtown Toronto during the Toronto Blockchain Futurist Conference (July 21–22, 2026) and Canada Crypto Week (July 20–26, 2026). The event will be held at a central coffee shop/ casual venue in Toronto Downtown. It targets blockchain enthusiasts, developers, and investors — with a special focus on Toronto’s large Chinese-speaking community — to reignite discussion, visibility, and grassroots momentum for the Polkadot ecosystem at a time when major conferences are drawing significant attention to the city.

Why Host the Event in Toronto?
Toronto is currently one of the most dynamic blockchain and Web3 hubs in Canada. This proposal strategically leverages the convergence of two major industry events in July 2026:

  • BlockchainFuturist Conference (July 21–22, 2026)
  • Canada Crypto Week (July 20–26, 2026)

These high-profile gatherings will attract thousands of blockchain enthusiasts, developers, investors, founders, and media professionals to Toronto. By organizing a targeted Polkadot Offline Meetup during this peak period, we can efficiently tap into a concentrated audience that is already highly engaged with the industry.
Hosting the event in downtown Toronto allows us to:

  • Capitalize on the natural influx of attendees and maximize turnout without additional travel costs.
  • Increase Polkadot’s visibility and discussion among both English-speaking and Chinese-speaking communities in a key North American tech city.
  • Create authentic networking opportunities and generate high-quality content that can be amplified globally.

This timing and location offer a rare, cost-effective window to rebuild momentum and community engagement for Polkadot in Canada.

Background & Rationale
Polkadot has experienced a period of reduced on-the-ground visibility in major global events. Participation in flagship conferences such as Consensus has been limited in recent cycles, resulting in lower organic discussion and community energy.Maintaining consistent offline presence is essential for ecosystem health. Grassroots meetups create authentic conversations, onboard new participants, and generate shareable content that amplifies reach far beyond the physical event.

  6. Deep understanding that sustained offline activity is one of the most effective ways to keep Polkadot top-of-mind in local communities.

my dedication is further evidenced by self-funding attendance at major international events such as the Bitcoin Conference in Las Vegas and multiple offline promotional activities at Consensus Miami. His track record demonstrates genuine, long-term commitment rather than short-term opportunism.

By leveraging the natural influx of blockchain professionals to Toronto during the Futurist Conference and Crypto Week, this meetup will efficiently create meaningful discussion within the Chinese-speaking blockchain community in one of North America’s major tech hubs.

Why This Proposal Benefits Polkadot
This is a low-cost, high-leverage community activation. It capitalizes on an existing concentration of blockchain talent in Toronto during peak conference season, directly addresses the current need for renewed offline visibility, and specifically engages an important but sometimes underserved demographic (Chinese-speaking builders and users). The personal commitment demonstrated by the proposer (self-funded international travel and unpaid advocacy) further ensures authentic execution and long-term follow-through.

Risks & Mitigation

  • Low attendance risk → Strong pre-event promotion through multiple Chinese and English channels + leverage of conference attendees.
  • Venue/logistics issues → Flexible date within the week and backup venue options already identified.
  • Currency fluctuation → Budget is conservative; any surplus will be returned or used for additional promotion.

Conclusion
This proposal represents a timely, cost-effective opportunity to bring Polkadot back into active conversation in one of Canada’s most important blockchain cities during a major industry week. With proven personal dedication from the organizer and a clear focus on measurable community impact, we respectfully request the Treasury’s support. We look forward to your feedback and support.

Hi, can you provide a more detailed budget breakdown:

  • Who will you buy catering from?
  • How are you sorceing the swag?
  • Private area reservation where?

@Rust Syndicate

Hi, Thx for asking, here is the detailed infomation:

1、CateringI will source light meals and beverages from a local café in downtown Toronto. I have already spoken with three different coffee shops and will select the most suitable option based on price, menu quality, and package inclusions. Each café offers an all-inclusive package for the booked time slot that covers: Coffee, tea, and other non-alcoholic beverages
Light meals / finger food (sandwiches, salads, pastries, etc.)

I will choose the package that provides the best value while meeting our expected attendance. Final selection and exact pricing will be confirmed once the venue and exact headcount are locked in.

2、Swag / Promotional ItemsSwag will be sourced in two parts:

Part A. Custom Toe Bags (150 units) Product: Foldable reusable toe bags that collapse into a compact ball-shaped keychain/pendant when not in use and expand into a full-size shopping bag.
Supplier: Alibaba (direct factory order)
Shipping: Approximately 7 days to Toronto
Unit cost: ≈ US$1.80 per bag
Total estimated cost: 300u (150 × 2u) not include the shipping fee
Payment: I will personally advance the full amount for this order.

Part B. Additional Promotional Items sponsored by Bifrost (the largest DeFi project in the Polkadot ecosystem) has generously supplied:
100 pairs of branded socks
100 sports towels

These items will be distributed to attendees alongside the toe bags during the The Blockchain Futurist Conference、Canada Crypto Week 2026 and offline meetup. And Bifrost‘s swag already shipped to me here is the photo:
https://docs.google.com/document/d/1QeFfXqWqew3t5izv455QRzAUWko85C7vG2jsPxSvqzA/edit?usp=sharing
Bifrost promotional flyers will also be placed on tables and around the venue.

3、Private Area ReservationI have shortlisted three suitable venues for the private networking / side event area. All three options are located in Downtown Toronto, within easy walking distance of both: The Blockchain Futurist Conference
Canada Crypto Week 2026

I am currently in active discussions with the venues to compare: Hourly or half-day rental rates
Capacity and layout
Catering policies (to align with the café option above)
AV / Wi-Fi requirements
Any minimum spend or additional fees

Pls feel free is you have further questions. thx

Are you paying for all the Venue, Catering, Marketing, Event Materials and all Contingency in DOT token? If the answer is not , then requesting in DOT does not make sense here and costing projection in DOT also not making sense. That will remove the one of the Risks & Mitigation Currency fluctuation → Budget is conservative; any surplus will be returned or used for additional promotion. Voting NAY

@DW niraivettu

Thank you for your question and for reviewing the proposal.Yes, the Treasury will disburse the full 3,500 DOT directly to the beneficiary address. All requested funding is in DOT, and the budget breakdown (linked in the proposal) is also denominated entirely in DOT.

In practice:I will convert the necessary DOT to CAD at the time of each payment for venue, catering, marketing, materials, etc.
The budget is deliberately set conservatively (based on current market rates + buffer) precisely to handle potential currency fluctuation between DOT and CAD.
As already stated in the Risks & Mitigation section: “Currency fluctuation → Budget is conservative; any surplus will be returned or used for additional promotion.”

This is the standard way Small Spender treasury proposals work — the Treasury pays in DOT, the organizer manages local expenses transparently with receipts, and any unspent funds are returned. There is no hidden fiat request or mismatch. You can check the detailed breakdown here:
https://docs.google.com/document/d/1O1MWRkjI-PRRx3ZqRC9VaELacHwbBIkHdHgqy9NUsmA/edit?usp=sharingHappy to answer any follow-up questions or provide more details on the budget items. Appreciate your feedback!
